Hi folks

the way my references are done currently is that I write the caption, select it then go to apply styles and select figure, which adds the correct number.

I went looking on how to reference as my figs were not showing in the cross reference box, and a site told me to use a different method, but this starts numbering from 1 again and does not register in the table of figures.

so it seems I can carry on how I am with a table of figs, with no fig referencing, or start again but without a table of figs

anyone any tips?

The reason I can't come up with an answer is that I quite simply haven't got a copy of Word 2000 to check it on.

From memory, you label a figure with a figure style. That allows Word to gather the figure text into a figure table and to be selectable as a TOC section. You're doing that so we agree so far. If you then need to apply a cross-reference to that figure the figure ought to be selectable when you declare the cross-reference. If you can't see them then it's the "what do I allow in a cross-reference box selection list" that needs adjusting, surely. If you can't see it in the list then it's not being selected for the list. It would be if it were marked in the cross-reference options. If you can find the place where you define what can be cross-referenced, there'll be a list of styles to which you can add anything you want to.

I can't look because Word changed the menus and levels with Word 2002 and you're back beyond the horizon and out of sight with Word 2000.

ah my bad its 2003 I am using not 2000 but I also have access to 2007.

reason for this is lots of the pc's at uni have been updated to 2007, but not all and not the lecturers pc's which means my doc has to be in 2003 so they can read it!

what you say makes sense are you able to tell me how to do this in either 2007 or 2003?

Hey kinda got a solution to this (in 2007), not most elegant, but anyhoo.

in the apply styles box I select figure, then click the modify button. in the style type drop down, select "linked (paragraph and character)"
the figures then show up in the cross reference box, when all numbered items is selected.

I'll try to guess and it might be the switching around from 2003 to 2007 that's thrown something. Excuse my vagueness but it's years since I saw Word.

When you add a picture or whatever, there's a right-click "caption" to put in an autonumbered "Figure 12 The Acropolis Under Water" sort of thing. That has a style "Caption". Maybe you're just putting that text under the figure and clicking Style and selecting "MyFigureStyle" instead.

When you add a table of figures you have a choice to select any one style and you can ask for "MyFigureStyle" and get your table built. There's an alternative check-button that sticks to the built-in Caption system. Maybe you're using your own style for figures, or 2007 has swiched you to a style that 2003 can't recognize.

I may be wrong here but I thought that *any* style could be designated a figure style with a "F" flag. Buggered if I know where it goes though.

Anyway, Cross-referencing. You type "see also my dramatic photo of the Acropolis during the floods of 2014" and Insert cross-reference, you have a pick-list of what type of thing you want to cross-reference to. Header, Figure, all sorts. If you have all your figures under a style that isn't the default "Caption" then they'll not show up under "Figures" (unless you can work out whether that F-flag against a style really exists!) but they ought to show up under one of the other categories because they're styles, after all. There's a half dozen options in that pull-down list, isn't "Style" one of them?

At the worst, to get them into the cross-referencing system somehow, consider changing all the
"MyFigureStyle" to "Caption" (if it exists) or at worst to, say, "Header 12" - not by hand, there ought to be a one-click substitution. If you use "Header 12" then at least your cross-reference will show up, under "Headers". It's a bad solution. If you can see "MyFigureStyle" under any other grouping in the Cross-reference control box then you don't need to make a change at all.
